How to Plan a Successful Event      

Introduction:   Effective communication is the key to the success of any event or program conducted by a student club or organization.  Below is an outline that has been designed to help you take advantage of the communication systems available to members of the college family when planning events and programs for which you want to encourage college-wide participation.


Timing:  As the saying goes “timing is everything.”  Some of the most effective means of communication within the college is the use of electronic messaging, brochures, and posters.  Be sure to allow your organization sufficient planning time for the creation of such materials.
Copiers can be used on the Student Activity Center, Specker Library, and 5th floor.  Posters have to be approved by the Director of Student Activities prior to placement.  Placement of posters should be in high traffic areas no later than one week prior to the event.  Clubs are welcome to place flyers or announcements in mailboxes located in the Information Center , room 186 or in the Student Activity Center, as well as, in the elevators.  Electronic bulletins have to be sent to me and I will forward it onto our webmaster.  College distribution emails can be sent to your club advisor or the Director of Student Activities to forward on to the college family.

Room Use:  Booking a room for your event is crucial to its success.  As soon as you have chosen the date for your event stop by the Student Activity Center’s front desk to make your request.  A Rooms and Catering form can also be email to  An employee from the Student Activity Center will notify you no later than 4 days after the request was submit regarding your request.

Shavings: The school newspaper will be published on a bi-monthly basis.  Any club activity or event should be advertised and covered by the newspaper staff.  Email Shavings so your activity can appear in the paper.  Please allow three to four weeks for publication.
