HSI-STEM Grant Coordinator

Reports to: HSI STEM Project Director

Position Summary:

The HSI-STEM Grant Coordinator will serve as the primary individual responsible for development, implementation, and execution of strategies identified to achieve each goal of Calumet College of St. Joseph’s Hispanic Serving Institutions STEM grant, including oversight of the institutionalization of the project across all functions at the college. The Coordinator will support the strategies to achieve the institutional goals that are essential to the long-term success of this project.

This is a grant-funded position through September 30, 2026.

Responsibilities Include:

  • Work collaboratively with the Project Director and HSI team to meet the specified grant goals:
    • Assist in preparing for HSI Team meetings each semester
    • Participate in the Student Support Team and assist Student Support Services, including Peer Ambassadors, internships, and experiential learning activities
    • Provide support for Counseling programming
    • Coordinate with the Outreach Team, ensuring that HSI and Enrollment activities function cooperatively to enhance College capacity without duplicating efforts
    • Provide data as requested for the Assessment Team
  • Monitor budget and help ensure resources are used efficiently
    • Enter all invoices into Business Portal for payment
    • Maintain grant spreadsheets, entering all expenditures and reconciling monthly
    • Meet with the Comptroller and HSI administration at least monthly to track expenditures and ensure that all grant activities are implemented on budget
  • Maintain digital and paper files
  • Help discern grant requirements and coordinate tasks among team members
  • Communicate with internal and external constituents/stakeholders.
  • Assist to monitor and ensure program compliance with all local, state and federal agency regulations, policies and procedures.
  • Organize and monitor schedules to see that required documentation deadlines are met.
  • Report updates verbally and in written form to management
  • Complete any necessary administrative tasks, such as research and email
  • Demonstrate commitment to students’ needs and confidentiality continuously

Minimum Qualifications/Experience:

  • Bachelor’s degree or higher
  • Excellent verbal and written communication skills
  • Ability to work in a team, as well as being self-motivated
  • Skilled in using Microsoft applications, such as Word, Excel, and PowerPoint
  • Experience in grant management a plus

Preferred Qualifications/Experience:

  • Accounting knowledge/background preferred
  • Bilingual (Spanish/English) highly desired
