Important Steps for Graduation

Follow these steps to ensure that you are eligible to graduate and meet the required deadlines.

Submit Your Application

Please keep in mind that the graduation process is not automatic. Students who do not complete the application for graduation by Friday, February 26, 2021 will not be awarded/degreed until the next graduation term. Log into your MyCCSJ account to complete your graduation checklist and apply for graduation. You must complete the following steps under Graduation Checklist to apply for graduation:

  • Review Personal Information
  • Review Student Billing Account
  • Apply for Degree

A $125.00 graduation fee will be assessed for all associate and bachelor degree recipients and a $150 graduation fee for all master degree recipients upon completion of the graduation application. These fees are incurred for all graduates whether or not they participate in Commencement activities.

May and August Candidates

Please make sure to verify that your address is correct while reviewing your personal information during the application process. Don’t forget to provide us with the desired name on your diploma through the application as well. All applications received with no desired name for your diploma will result in the usage of the name in our system as the default diploma name.  All names must be verified by March 26, 2021.

Academic garments must be ordered through Jostens. Beginning March 1, 2021, see how to order your cap and gown from Jostens as well as other items they have to offer. You must order your cap and gown by April 1, 2021, to receive them in time for the “Graduate Celebration” event.

Grad Images will be there to take professional pictures. Please see Graduate Celebration for more information regarding pictures. The cost of the cap and gown is included in your graduation application fee; however, you are responsible for the shipping and handling charges of $12.95. If you choose not to order your cap and gown, your student account will be credited the following; Associates and Bachelors will receive a $19 credit and Masters will receive a $39.95 credit. This is only if you have paid your graduation fee. If you have paid your graduation fee and have a zero balance, you will receive this credit as a refund. Refunds will be processed after May 22, 2021.

Complete Exit Loan Counseling

Government regulations require you to complete student loan counseling. Visit  studentaid.gov, log in with your federal FSA ID and select the “Manage Loans”, “Complete Counseling” link, then “Complete Exit Counseling” to begin. Follow the prompts to complete the loan exit counseling process, which covers both Direct and FFEL borrowers. An explanation of your rights/responsibilities as a student loan borrower will be presented as well as a review of important loan details; such as interest rates, loan repayment options, and deferment or forbearance options.

Submit Your First Destination Survey (Graduation Survey)

The Career Services Office conducts a graduation survey of all graduates. This information is utilized to provide summary data about your graduating class. This data is critical for the University’s annual report and is also helpful to academic departments, current and prospective students, and potential employers. The survey takes 2 minutes to complete. Please complete the survey.

Once the survey is completed and submitted, students will receive a CCSJ t-shirt that will be included in their graduation package.

Graduate Celebration

Given the current challenges we are all facing with the COVID-19 pandemic, we will not be able to hold our traditional large-format commencement ceremony in May. The health and safety of our graduates and their families is the most important consideration as we plan to recognize this milestone accomplishment. We are ironing out the details but we would like to invite you to attend “Graduate Celebration”, a celebratory event to commemorate your graduation from CCSJ. You will have the opportunity to take photos on stage and to invite your family to campus for this event.

Grad Images will be at the college during the event to take professional pictures of you in your cap and gown.  You must have your own cap and gown for the pictures.  Due to the pandemic, we will not have sample gowns or caps for you to wear. If you are receiving an Honor’s stole or cord(s), you will receive them when you check in. Your photo can be of you in cap/gown with stoles and cords, professional attire, United States Armed Forces or Police uniform or Calumet College gear. Calumet College will be providing you a 5” X 7” photo from Grad Images from this event.

We hope that many of you will come to campus to safely celebrate with those who have supported you through your educational journey, and to commemorate your accomplishments with keepsake photos.

Frequently Asked Questions

Graduates can attend “Graduate Celebration”, an event to honor our students, their achievements and contributions and to celebrate with friends and families. Special photo opportunities will be set up around campus to commemorate your graduation from CCSJ. CCSJ plans to provide one free professional portrait of each graduate participating in this event and you will have the opportunity to purchase additional photos and take your own photos. Please note: Reserved time slots will be required to participate, to ensure social distancing.

The event will take place on campus in the main building on Friday, May 21, 2021, from 1:00 P.M. – 5 P.M. and Saturday, May 22, 2021, from 9:00 A.M. – 5:00 P.M.

Face coverings must be worn while inside the building and any time individuals are fewer than six feet apart outside. CCSJ staff will indicate the limited times when face coverings can be removed for photographs. Social distancing standards are in effect. Therefore, no group photos of students who are not from the same family will be allowed. All spaces will be cleaned and disinfected regularly to help ensure the safety of all visitors and staff. All COVID-19 Protocols MUST be followed. Please share responsibility for keeping everyone safe and healthy.

The registration process will open on April 1, 2021, at 9:00 A.M. Reserved time slots will be required to participate, to ensure social distancing.

Each graduate is welcome to register to bring up to four guests to the event. This is the maximum number of guests that can be accommodated during the events, to allow for proper social distancing and to give as many graduates as possible the opportunity to participate in the time available.

You are not required to wear a cap and gown for the Graduate Celebration Event; however, if you are interested in doing so, or in obtaining your cap and gown for your personal use, please contact Jostens. Graduates having their regalia shipped to them should place their order by April 1, 2021 to ensure it arrives in time for the Graduate Celebration event.

Your photo can be of you in cap and gown, professional attire, United States Armed Forces or Police uniform.

If you have settled your obligations to the College, including, if any, tuition and fees, book rental charges, library fines and exit surveys, your diploma will be included in your graduation package. If not, your diploma will be available for pick up after you have settled your obligations to the College. Students must pay their accounts in full.

Packages not picked up will be mailed, starting the week of May 24, to your permanent address that the Registrar has on file. Please check MyCCSJ to make sure your address and information is correct.

If you are not able to attend the Graduate Celebration event to pick up your graduation package, you may send a proxy with a note stating they have permission to pick up your graduation package. You can email this in advance of their arrival to commencement@ccsj.edu or provide a hard copy of the document at the time of pick up. Your proxy must have a copy of your student ID card or other photo ID and will be asked to show his or her own photo identification.

You will receive your adornments in your graduation package and they can be worn at the time of the Graduate Celebration event.

Please note: December and May undergraduate Bachelor’s degree candidates, who will graduate with honors or distinction, will receive a gold honor stole. By decision of the Faculty Senate, August undergraduate Bachelor’s degree candidates with honors or distinction will receive a gold honor candidate stole until their course requirements have been fulfilled and a final GPA has been determined. August undergraduate Bachelor’s degree candidates with honors or distinction will be recognized as honors candidates in the commencement program booklet. Stoles, other than the aforementioned, will not be allowed.

Yes. A graduation fee will be assessed for all associate, bachelor and master degree recipients. The graduation fee covers the cost of degree audits and evaluations, the diploma, diploma cover, mailing fees, program booklet and other materials. Graduation fees that are not paid after the application is submitted may result in a hold being placed on the student’s record. Diplomas will not be released to graduates with an account balance. Students should make sure all fees, including the Graduation Fee, are paid prior to leaving the College.

Students may receive a credit for the cap and gown cost if they choose not to order a cap and gown. Associates and Bachelors will receive a $19 credit and Masters will receive a $39.95 credit. If you have a zero balance, you will receive this credit as a refund. Refunds will be processed after May 22, 2021.
